This job aid will help you locate the recharge self-certification form and connect to the CalPlanning database to retrieve financial data.
Key Steps in the Process
Locate the Recharge Self-Certification File
- Go to the Recharge page.
- Scroll down the page to the Forms and Templates section.
- Select the "Certification Checklist Form (Excel)" link. This copies the file to your Downloads folder.
- Move the file to another location. You can store the file in any folder except the Desktop folder.
Open the file in Smart View
Smart View is an add-in application to Excel. If you have Smart View installed on your computer, Smart View will be on the Excel menu.
If you do not have Smart View installed on your computer, you can access Smart View via a remote desktop application called Citrix. See Accessing Your Files When Using Smart View from Citrix for details.
- Make sure you are connected to Eduroam (on campus) or GlobalProtect (off campus) before opening the file in Excel.
- Open the file named certification-checklist-form_fy##_hsgetvalue_multi_year.xlsx
- Enter your User Name and Password in the Connect to Data Source dialog box. (If you have already been using Smart View since you loaded Excel, you will not be asked to log in again.)
Connect to Smart View
- Go to the Financial Trends tab
- Select Smart View from the Excel menu.
- Select the Panel button from the Smart View ribbon.
- Select Shared Connections In the Panel on the right.
- Select Oracle® Essbase from the drop-down menu for Select Server to proceed.
- Select the + next to EssbaseCluster-1 to expand the tree.
- Select the + next to CalRptg to expand CalRptg.
- Double-click CalRptg – EssbaseCluster-1_CalRptg_CalRptg.
- Select Ad hoc analysis at the bottom of the Panel.
- If you see a message indicating that you cannot perform ad hoc analysis on a function-only sheet, select OK.
- Select Add to Private Connections at the bottom of the Panel.
- You can accept the suggested name for the private connection or edit it to a name that you prefer.
- Select OK to finish creating the private connection.
- Select Private Connections at the top of the Panel, from the Home drop-down menu.
- Select the private connection you just created.
- Select Ad hoc analysis from the bottom of the panel.
- If you see a message indicating that you cannot perform ad hoc analysis on a function-only sheet, select OK.
- Select the Refresh button on the Smart View ribbon or the Essbase ribbon to refresh the data. Choose whichever is more convenient for you.
Troubleshooting
If you receive the error message “Connection to Shared Services provider failed. The server name could not be resolved,” it indicates that you do not have the correct Connection URL to access the Smart View server. To resolve this issue:
- Select Options from the Smart View ribbon.
- Select Advanced from the left pane.
- Enter https://calpln-rptportal-training.berkeley.edu/workspace/SmartViewProviders in the Shared Connections URL text box.
- Select OK.
Update chartstring information in the file
- Go to the Financial Trends tab.
- Enter the chartstrings for your unit in the cells with the light blue shading.
- DeptID must begin with 1_, e.g. 1_24105 for DeptID 24105
- CF1 must begin with C1_
- CF2 must begin with C2_
- If you do not have a Chartfield1 or Chartfield2, then enter Chart1 or Chart2
