Cash Handling and Banking Services

Overview

Cash Handling and Banking Services centrally supports incoming payment processing for student and non-student accounts receivables, as well as point of sale revenue-generating activity. This unit oversees incoming payment channels such as checks, lockbox, Automated Clearing House (ACH), international wires, credit cards, currency, and coins to ensure timely recording to the general ledger and that department processes are in compliance with UC policy. Additionally, this unit manages armored transport services, human subject and petty cash program requests.

If your unit handles cash and/or checks, each staff person must have a background check.

When depositing funds, a revenue account is generally expected to be used. If you have a question about using a non-revenue account code, please email Cash Handling and Banking Services at cashiers@berkeley.edu.

In cases where a deposit is not accurately recorded, Financial Accounting and Controls emails a reconciliation request to the person responsible for the entry. You are expected to respond in a timely manner.

Each unit must designate a staff person to regularly review incoming wires where the receiving unit is not defined, and provide the correct chartstring for their transactions within the period the wire was received.

All units that handle cash and checks are subject to periodic audits of their cash handling processes.

Roles and responsibilities

The manager is responsible for ensuring that new employees who will be handling cash and/or checks get a background check.
