Updates related to UCPath/payroll - PPS GAEL, PPS UCRP interest, Direct Retros and more

June 3, 2019
BFS Community,
GAEL journal related to PPS payroll expense transfers was not posted in April
The monthly General, Automobile, and Employment Liability (GAEL) file which records adjustments related to Payroll Expense Transfer (PET) actions in the Payroll Personnel System (PPS) was not received in time for posting to April and was posted in May.
The May GAEL file for PPS transactions should post as usual during the week of May's month-end close
April UCRP interest on PPS payroll expense transfers
University of California Retirement Plan (UCRP) interest allocation on PPS payroll expense transfers was not processed in April and has posted in May.
GAEL not assessed on FEN/FEL earn code payroll
Earn codes FEN (Post-Doc non-res) and FEL (Post-Doc Foreign) were configured in UCPath to bypass the GAEL assessment. UCOP is working on updating the configuration. We'll share more information as it becomes available.
Duplicate Salary Cost Transfers identified
There have been instances when salary cost transfers for employees resulted in duplicate transactions. The UCPath Center (UCPC) is aware of this issue and is working on a resolution.
Late pay on prior positions
Employee class data on pre-UCPath positions was not converted to UCPath. Since the general ledger (GL) account code is derived based on employee class, when a late pay is processed on a previous job, the wage line goes to the balance sheet suspense account. We are currently working with UCPC to find a resolution to this issue. Please note that the benefits associated with the salary transaction will still process and post to the appropriate chartstring.
Fiscal year end Funding Rollover process
UCPath will execute a year-end process on Monday, June 10 and Tuesday, June 11, which is known as Funding Rollover. Funding Rollover replaces Position Funding chartstrings containing expired funds (i.e. funds with end date per BFS funding panel of June 30, 2019 or earlier) with the department default chartstring.
As a result, campus users should update Position Funding for the affected positions with new chartstrings in order to charge payroll in FY20 correctly. You can begin updating Position Funding as early as Wednesday, June 12.
Please note that direct retros can still be processed using these expired chartstrings; only new payroll processed in FY20 will require a new funding source.
Additionally, if an extension on a Contracts & Grants (C&G) fund has not yet been processed in BFS, you will still need to update Position Funding and you can do so with the historical chartstring. This should be the only reason to revert back to the pre-rollover values.
