Budget Process: Weekly Roundup - April 21

April 21, 2017

Divisional Finance Leaders,

In consideration of the long hours and hard work that you're putting into your FY2016-17 Forecast and FY2017-18 Budget Submission, we're making updates to a few key timeline items: all dashboard narratives are now due next Wednesday, April 26; the April DFL Forum has been canceled to allow for working time; and Q3 variance reports are due on Friday, May 5 with your final budget submission. We've updated the budget process timeline accordingly. Read below for more information on these date changes, plus an announcement of a new online finance resource.

This week's news

Introducing the DFL Concierge webpages
We invite you to begin using our newest offering of online financial tools on the Office of the CFO website via the DFL Concierge: cfo.berkeley.edu/dflconcierge. The DFL Concierge web pages are a resource directory of the most commonly requested information and financial services from the Office of the CFO's Finance Teams. These are the featured topics:
  • Quarterly variance analysis and flash forecast
  • Endowed chairs
  • Central commitments
  • Recharge
  • Professional Degree Supplemental Tuition Programs (PDST)
  • Self-Supporting Graduate Professional Degree Programs (SSGPDP)
  • Organizational tree
  • Other services include permanent budget journal approval, fiscal close, and FFE investment
The DFL Concierge is a work in progress and our main objective is to meet your needs for campus financial information and resources. Your feedback and suggestions for improvement are always welcome. Please send your comments and questions to us via email at dfl_concierge@berkeley.edu. We look forward to hearing from you and partnering with you to ensure easy access to financial tools.

Divisional Budget Dashboard optional narratives due April 26
To ensure all divisions have more time to submit their dashboard narratives, we've changed the deadline for all divisions to submit the optional narrative portions (updated document) of the prototype Divisional Budget Dashboard due to the Office of the CFO via cfocommunications@berkeley.edu by Wednesday, April 26. If you would like to submit additional narrative commentary beyond what can fit on the dashboard, please submit it with your final budget submission on Friday, May 5.
The dashboard narrative prompts are simply suggestions; please use your judgment when drafting your division's most critical comments for the EVCP and CFO. We've also updated the narrative Word document with character counts for the dashboard narrative boxes; however, each division's dashboard is a slightly different layout to accommodate their metrics so the character counts are reflective of the most common dashboard layout/box sizes.
We'll complete your divisional dashboard using your narratives and final budget submissions, and we'll provide the final version to you, the EVCP, and your Dean/VC at least 48 hours in advance of your division's 30-45 min Budget Meeting with the EVCP and CFO during mid-May. You may send final dashboard edits to us at that time.

Next week's news and beyond

April DFL Forum canceled
To allow us all more time to complete our budget-related work, we've canceled this month's DFL Forum (previously scheduled for next week). The next DFL Forum is on Tuesday, May 23.

Final budgets and Q3 variance reports due May 5
All divisions received their Q3 quarterly variance reports only yesterday; therefore, we've extended the deadline to complete your reports to Friday, May 5. Please submit both your variance report and final budget by this date.
