DFL weekly update - September 28, 2018

Divisional Finance Leaders,

Please read below for the Office of VC Finance’s updates for the week ending today, September 28. Please continue to share the relevant information from these weekly updates (and the updates from the monthly DFL Forums) with the financial analysts in your division.

Operational Updates

Submit DeptIDs for inactivation and CF1 changes by Friday, November 9

If you have DeptIDs that you would like inactivated in CalPlan or Chartfield 1 members you would like removed from or added to CalPlan and HCP, please submit requests by 5pm on Friday, November 9. For DeptIDs, please complete the DeptID Planned Inactivation Form. For Chartfield 1 members, please submit a simple list in excel in the format “C1_xxxxxx”. The changes will be implemented in CalPlan and HCP as part of the January CalPlanning release. Please email completed forms to dfl_concierge@berkeley.edu by 5pm on Friday, November 9 and include “DeptID/Chart1 Inactivation” as the subject line.

Submit Q1 Flash Forecast by Wednesday, October 31

The Q1 Flash Forecast is due Wednesday, October 31. Similar to previous Flash Forecast submissions, the submission documents include a completed Forecast Trend and Variance Report and Summary of Changes Narrative.  We’re currently updating these materials and they will be available on the VCF website on Monday, October 1. Please complete both the Forecast Trend and Variance Report and the Summary of Changes Narrative and email them to dfl_concierge@berkeley.edu no later than 5pm on Wednesday, October 31.

Strategic Project Updates

Cal Answers Financials/BAIRS retirement

Based on your feedback, rather than doing a phased shut-off we’ll leave all the BAIRS dashboards open through December 21. On December 22, 2018 we will close down BAIRS and the system will no longer be accessible. As we get closer to BAIRS retirement, please take this opportunity to use Cal Answers for all your reporting activities while BAIRS is still available to ensure you can find the information you need within the new dashboards.
